Challenge:

Designing an AI-Enabled Training Session Management Platform

The client, a multinational technology corporation, runs large-scale training programs for customers worldwide through an extensive network of external training partners. As part of its Technology Training Program, the client needed an efficient way to manage training session requests, streamline operations, and get real-time visibility into learner and session data. 

The existing process wasn't built for that scale: 

  • Operations teams logged into multiple systems daily just to capture and validate session details, with constant cross-checking to keep data consistent.
  • High volumes of session requests were entered manually, which was slow and error-prone.
  • Many requests arrived as plain-text or lengthy email threads, requiring manual extraction before they could even be entered.
  • Reporting, budget tracking, and operational analysis lived across multiple spreadsheets and calculation tables, each needing separate upkeep.

Building a Centralized Platform 

  • Designed and developed a user-friendly Azure application to manage the end-to-end training session process in one place.

Automating Data Capture and Validation 

  • Replaced manual formula-driven spreadsheets with standardized forms and built-in calculations.
  • Enabled record updates and bulk uploads with automated validation, improving both speed and data quality.

Extracting Structured Data with AI 

  • Implemented an LLM-based information extraction workflow using Azure Open AI to extract session details from unstructured email threads, generating standardized session records ready for validation and submission.

The platform gave the client's training operations a faster, more reliable, and more intelligent workflow: 

  • A single source of truth for all training session data, supporting downstream reporting, analytics, and calculations.
  • Significantly less manual effort across data entry, calculations, and bulk/unstructured request processing.
